Recruiterflow Pricing 2026: Plans, Costs and What Agencies Pay
By Sparsh Goyal, Founder at The Cognitive. Published · Last updated
- Recruiterflow charges per user: Platform is $149 a month or $119 on annual billing, and AIRA is quoted.
- A five-seat agency pays $7,140 a year on annual billing or $8,940 month to month, before contact data, which Platform does not include.
- Older reviews quoting $99 predate a 2025 price rise, and Recruit CRM ($95 annual, with credits) and Loxo (from $149 annual) price their extras differently.
Recruiterflow publishes one price. The Platform Plan costs $149 per user a month billed monthly, or $119 billed annually. In euros it is €149 or €119; in pounds, £115 or £89. The AIRA Plan, which adds Recruiterflow's AI agents and its phone and email finder, is custom-priced and quoted after a call.
Three more facts shape the real bill. The Platform Plan does not include the phone and email finder, so contact data is a separate line unless you move to AIRA. No free trial or free plan is shown; every path starts with a demo. And the one paid extra on the pricing page is white-glove data migration, priced by data volume.
How much does Recruiterflow cost in 2026?
Recruiterflow sells two plans to recruitment agencies and search firms, both priced per user. The Platform Plan is "created for search firms requiring an end-to-end solution". The AIRA Plan, marked "Popular", is "best suited for search firms with bigger teams, and much bigger dreams". Recruiterflow's FAQ says both plans include the full core ATS and CRM. The difference between them is the AI layer and a few data features, not the system of record.
| Plan | Billed monthly | Billed annually | What is included |
|---|---|---|---|
| Platform Plan | $149 per user a month (€149, £115) | $119 per user a month (€119, £89) | ATS and CRM with unlimited jobs, candidates, contacts and companies; multichannel sequences by email, calls and text; recruitment and sales automation; client and team access control; bulk sourcing with a Chrome extension; LinkedIn imports; a branded careers page; Recruiterflow BI reports; API access. |
| AIRA Plan | Custom pricing | Custom pricing | Everything in Platform, plus AIRA Notetaker, AIRA Matchmaker, AIRA Job Change Alerts, AIRA Field Updates Agent, AIRA Submission Agent, AIRA Task Agent, the phone and email finder, omnichannel communication sync (adds LinkedIn to email, calls and text) and custom BI dashboards. |
| Data migration | Self-serve CSV or Excel import is free. White-glove migration is paid, priced by data volume, and typically takes 6 to 8 weeks. | A migration fee waiver can be discussed on multi-year contracts. Recruiterflow's blog also describes a Free Agentic Migration option. | |
The page states no annual discount as a percentage. Worked out from the list prices, annual billing saves $30 per user a month. That is $360 per user a year, about 20% off. In pounds the gap is £26 a month, closer to 23%.
The page opens on the annual view, so $119 is the figure most visitors see first. Recruiterflow's own page description, the text search engines often show, says pricing "starts at $119/user/month". That holds only on annual billing. Month to month, it is $149.

Has Recruiterflow pricing changed?
Yes, several times since 2024, which is why older reviews quote different numbers. PricingSaaS, which tracks vendor pricing pages, has recorded five changes since it began tracking Recruiterflow on 1 October 2024.
- Q2 2025: the Pro and Base plans were discontinued, leaving a two-tier lineup of an Advanced Plan and a new AI-focused Custom Plan.
- Q3 2025: the Advanced Plan rose from $99 to $119 per user a month, a 20.2% increase.
- Q1 2026: Advanced was renamed Platform and Custom was renamed AIRA, with prices and features unchanged.
- 7 September 2026: Recruiterflow BI reporting, previously AIRA only, was extended to the Platform Plan.
So a review quoting $99 a user, or plans called Advanced, Pro or Base, predates these changes.
What each plan includes, and what it leaves out
Platform Plan
For $119 or $149 a seat, the Platform Plan is a complete agency ATS and CRM. Records are unlimited, so a large database does not push you up a tier. You get sequences across email, calls and text. Automation covers both recruiting and business development. Client and team access control, Recruiterflow BI and API access are all on the list.
The gaps sit in the plan comparison table, not on the plan card. Four rows carry a cross in the Platform column: AIRA Notetaker, AIRA Field Updates Agent, Job Change Alerts and the Phone and Email Finder. Recruiterflow describes that last one as a way to "find verified emails and phone numbers of candidates and contacts". The communication row differs too: Platform lists "Email, Calls, Text", and AIRA adds LinkedIn.
The phone and email finder is the gap that costs money. Sequences are only as good as the contact data behind them. On the Platform Plan, you bring your own emails and phone numbers, from a separate enrichment tool or from what candidates already gave you. Budget for that before you compare $119 with a rival that bundles contact data.
Recruiterflow also markets AIRA Search and AIRA Source, the latter described as a way to "source across 850M+ profiles without leaving Recruiterflow". The pricing page does not say which plan carries either one, so ask in the demo.
AIRA Plan
AIRA is, in Recruiterflow's words, its "suite of AI Agents designed to augment key parts of the recruiting workflow, one task at a time". The homepage says 36 agents have been built. The AIRA Plan card names six: a Notetaker that summarizes key points from candidate calls you hold, a Matchmaker, Job Change Alerts, a Field Updates Agent, a Submission Agent and a Task Agent. The phone and email finder, LinkedIn in the communication sync and custom BI dashboards come on top.
The pricing FAQ makes two promises worth holding Recruiterflow to. First, you do not pay per agent: the plan includes all current and future AIRA agents at no extra cost. Second, multi-year Custom Plan customers get every new AIRA capability for the length of the contract.
No AIRA price, range or seat minimum is shown. LinkedIn's Future of Recruiting 2025 found 37% of organizations actively integrating or experimenting with generative AI tools, up from 27%. Loxo, Bullhorn and Recruiterflow all now keep their AI agents in tiers priced by quote, so the AIRA figure only arrives in a sales conversation. When it does, compare it with Platform plus the contact data tool you would otherwise buy.
What adds to the cost?
Recruiterflow's total cost is driven by seats, then contact data, migration and contract length. Here is the Platform Plan at list price for common agency sizes.
| Seats | Billed monthly ($149 a user) | Billed annually ($119 a user) | Yearly saving on annual |
|---|---|---|---|
| 3 | $5,364 a year | $4,284 a year | $1,080 |
| 5 | $8,940 a year | $7,140 a year | $1,800 |
| 10 | $17,880 a year | $14,280 a year | $3,600 |
- Contact data. The Platform Plan excludes the phone and email finder. If your recruiters source people who never applied, you need emails and phone numbers from somewhere: the AIRA upgrade or a separate tool.
- Migration. The pricing page lists a free self-serve CSV or Excel import and a paid white-glove migration, priced by data volume and taking 6 to 8 weeks. Recruiterflow's 19 October 2026 blog post on plan costs adds a Free Agentic Migration option, which it says takes 48 hours or more depending on database size. Ask which route applies to your data before you budget for the paid one.
- Contract length. Annual billing saves about 20%. Multi-year deals come with extra terms, such as new AIRA agents included and a possible migration fee waiver. The page does not say whether annual plans are paid up front.
Recruiterflow's FAQ states "No add-ons. No surprises. No extra costs." Within its own product that holds up: there is no add-on list and no credit meter. The extra spend comes from what sits outside the plan you pick, mainly contact data on Platform.
How does Recruiterflow pricing compare with Recruit CRM and Loxo?
All three sell agency recruiting software per user, but they price the extras differently. Recruiterflow keeps one flat Platform price and moves AI and contact data into a quoted tier. Recruit CRM publishes three tiers and meters many features through credits. Loxo publishes only its entry tier and sells the rest by demo.
| Vendor | Published prices | AI, data and credits | Free trial shown |
|---|---|---|---|
| Recruiterflow | Platform $149 per user a month monthly, $119 annual | AIRA Plan, custom pricing; no credits | No, demo first |
| Recruit CRM | Pro $95, Business $135, Enterprise $215 per user a month (annual billing, USD) | 100, 200 or 2,000 pooled credits per user a month; AI sourcing, data enrichment, SMS and calling consume credits | Yes, on Pro and Business |
| Loxo | Core from $149 per user a month, billed annually and paid up front | Professional by demo, with Loxo Source and 2,500 credits per seat a month; Enterprise custom | A "Start free" button in the site header |
On published entry price, Recruit CRM's Pro tier is the lowest at $95 a user on annual billing. Its credit model means heavy use of AI sourcing, enrichment, texting or calling can add to the bill. Recruiterflow's $119 annual price sits in the middle with no meter. Loxo's Core matches Recruiterflow's monthly $149 but asks for a year up front.
The bigger difference is where each vendor puts sourcing data. Loxo bundles its 850M+ profile graph into Professional, a demo-priced tier, and Recruiterflow keeps its finder in AIRA. So Recruiterflow and Loxo keep their sourcing data above the cheapest published plan.
Recruit CRM, which advertises AI sourcing across 800M+ profiles, puts AI sourcing and data enrichment on every plan, including Pro. It meters them through credits, so the higher tiers mainly buy a bigger credit allowance.
How to negotiate, and is there a free trial?
Recruiterflow shows no free trial and no free plan. The pricing page and homepage both lead to "Book Your Demo" or "Get Demo". The sales conversation is where the price moves, and a few levers come straight from Recruiterflow's own page.
- Ask for both quotes. Get the Platform price for your seat count and an AIRA quote side by side. The gap is what you would pay for the agents and the finder, which you can weigh against a separate tool.
- Raise migration early. The FAQ says the paid migration fee can be waived on multi-year contracts, and the blog mentions a free agentic route. If you are moving from another ATS, settle this before you sign.
- Trade term for terms. A multi-year AIRA contract includes every new AIRA capability for its length. If you sign longer, ask for a rate lock on added seats too.
- Count seats honestly. The pricing page names no lighter seat type. Ask whether researchers who only source, or managers who only read reports, need a full seat.
- Confirm payment timing. Get it in writing whether annual billing is paid up front or in instalments. That matters when you compare cash flow with Loxo, which states annual plans are paid up front.
Is Recruiterflow worth it?
For an agency or search firm that needs a modern ATS and CRM in one place, the Platform Plan is easy to budget. One price, unlimited records and no meter. At $119 a user on annual billing, a five-person desk pays $7,140 a year at list price for its system of record.
The value question is about the work around the database. Gem's 2026 Recruiting Benchmarks Report (December 2025) found recruiters managing 13.4 open roles at a time. It also found sourced candidates nearly eight times more likely to be hired than inbound applicants. If sourcing is where your placements come from, the missing contact finder matters. Compare Platform plus a sourcing tool with the AIRA quote.
Recruiterflow also does not run candidate interviews. AIRA Notetaker summarizes calls a recruiter holds; neither plan lists an AI that interviews candidates itself. If first-round screening eats your week, that work stays with your team on either plan.
So it is worth it when the ATS and client CRM are the core need and your team already has contact data and a screening process. It is less compelling as a sourcing engine on the Platform Plan alone.
Cheaper or different options
If the Recruiterflow quote does not fit, these are the options worth pricing next. (The Cognitive is our product.) For a full list with tool-by-tool detail, see our Recruiterflow alternatives guide.
The Cognitive: the contact finder and screening the Platform Plan leaves out
The Cognitive is not an ATS or an agency CRM, so it does not replace Recruiterflow as your system of record. It covers the two jobs the Platform Plan leaves to you: finding people with contact details, and the first-round interview. Type the role as you would brief a colleague, and it searches about 900M public profiles and gives a short reason for each match. A personal email costs 4 credits to reveal and a phone number 12. On Sourcing Pro and above, you can email candidates from your own Gmail or Outlook mailbox, signed by you.
The second product is a live two-way AI video interview. The candidate joins on a laptop or desktop with their camera on. The AI interviewer asks role questions and follows up on their answers, and you choose 10 or 20 minutes. You get a scored report against your criteria.
The Cognitive connects to 100+ ATS. On the higher plans that include ATS connections, it imports your candidates from Recruiterflow so you can interview people already in your database. Details are on our Recruiterflow integration page.
AI Sourcing and AI Interviews are separate plans, each from $99 a month, with a 7-day free trial and no card. See pricing for the full plan list.
Best for: agencies that want sourcing, contact data and first-round screening without moving to a quote-only AI tier. Watch out for: it does not manage jobs, clients, business development or placements, so keep an ATS for those. Phone reveals, email outreach and the Recruiterflow import sit on the higher plans. Pricing model: monthly plans per product, with credits for search results and reveals; per-seat team plans available.
Recruit CRM: a published three-tier ladder with a free trial
Recruit CRM is an agency ATS and CRM with Pro, Business and Enterprise plans priced per user, plus a monthly pool of credits shared across the account. On annual billing it has the lowest published per-user price of the three agency platforms compared above, and Pro and Business both offer a free trial. The trade-off is the meter: AI sourcing, contact data enrichment, SMS and calling all consume credits, so a busy desk should model its usage. Pricing model: per user, monthly or annual, plus pooled credits.
Loxo: sourcing data bundled into the ATS, at a higher tier
Loxo calls itself a talent intelligence platform with "an agentic workforce". Its Core plan has a published starting price. Its Professional plan adds Loxo Source, a graph of 850M+ professionals, and 2,500 credits per seat each month, but is priced by demo. It suits firms that want sourcing data inside the ATS and can pay a year up front. Pricing model: per user, annual, with credits and quote-only upper tiers.
Bullhorn: the established staffing platform
Bullhorn is the long-standing choice for staffing agencies that need deep back-office options. It prices per user, with upper editions by quote. Plans and what each costs are in our Bullhorn pricing guide. Pricing model: per user, with quote-only upper tiers.
How to start

Frequently Asked Questions
How much does Recruiterflow cost per user?
Recruiterflow's Platform Plan costs $149 per user a month billed monthly, or $119 per user a month billed annually. That is €149 or €119 in euros and £115 or £89 in pounds. Annual billing saves $360 a seat a year, about 20%. The AIRA Plan is custom-priced, so its per-user cost comes only from a sales quote.
Does Recruiterflow have a free trial?
No, Recruiterflow shows no free trial or free plan. Its pricing page and homepage lead to a demo booking instead. If you want to try sourcing and AI interviews before buying, The Cognitive has a 7-day free trial with no card.
What is the Recruiterflow AIRA Plan and how much is it?
The AIRA Plan is Recruiterflow's AI tier, and it is custom-priced with no published figure. It includes everything in the Platform Plan plus agents such as AIRA Notetaker, Matchmaker, Submission and Task, Job Change Alerts, the phone and email finder and custom BI dashboards. All current and future AIRA agents are included, with no charge per agent.
Why do some reviews say Recruiterflow costs $99?
Because Recruiterflow raised its price in 2025. PricingSaaS records the Advanced Plan rising from $99 to $119 per user a month in Q3 2025, and Advanced being renamed Platform in Q1 2026. Reviews quoting $99, or plans called Advanced, Pro or Base, predate those changes.
Are there hidden costs with Recruiterflow?
The main extra costs are contact data on the Platform Plan and, for some teams, migration. The Platform Plan does not include the phone and email finder, so you need another source for emails and phone numbers or the AIRA upgrade. White-glove migration is paid and priced by data volume, though the fee can be waived on multi-year contracts, and Recruiterflow's blog also describes a Free Agentic Migration option.
Is Recruiterflow cheaper than Recruit CRM or Loxo?
Recruiterflow sits between them on published entry price. Recruit CRM's Pro plan is $95 per user a month on annual billing in USD, with credits that some features consume. Recruiterflow's Platform Plan is $119 annual. Loxo's Core plan starts at $149 per user a month, billed annually and paid up front.
Does Recruiterflow do AI interviews?
No, Recruiterflow does not list an AI that interviews candidates. AIRA Notetaker summarizes calls a recruiter holds. The Cognitive runs live two-way AI video interviews that ask role questions and follow up on answers, with plans from $99 a month. Importing candidates from Recruiterflow comes with the higher plans that include ATS connections.
