Privacy Policy

The Cognitive processes candidate data — sourcing results, interview recordings, transcripts and scorecards — on behalf of the employer using the platform. The employer is responsible for determining the lawful basis for collecting candidate data and for obtaining any consent required in their jurisdiction; we process it under our agreement with them. Candidates can request access, correction, or deletion by contacting the employer directly or by emailing privacy@thecognitive.io. Effective April 2026.

What Information We Collect

Name, email address, phone number and professional details; resume information, work history, education and skills; AI interview recordings, transcripts, responses and scorecards; recruiter notes and hiring feedback; device information, browser type, IP address and usage data; cookies and analytics data; billing and subscription information; and communication history with support or sales.

How Candidate Interview Data Is Handled

Interview sessions may include video recordings, voice responses, transcripts, AI-generated summaries, recruiter evaluations and scorecards. We act as a processor for this data. Retention periods vary by employer settings, legal requirements and contractual obligations rather than being fixed by us.

AI Processing and Human Review

We use AI and machine learning to assist with interview analysis, transcription, summarization and scoring. AI-generated output is intended to support hiring teams and should not be the sole basis for an employment decision. Employers remain responsible for reviewing interview results and making final hiring decisions.

Data Security

Safeguards include encrypted data transmission, access control and authentication systems, infrastructure monitoring and logging, role-based access permissions, secure cloud hosting and regular security reviews. No method of transmission or storage can be guaranteed completely secure.

Your Rights

Depending on jurisdiction you may have rights to access your personal information, correct inaccurate data, request deletion, restrict or object to processing, withdraw consent, and request data portability. Submit requests to privacy@thecognitive.io.
